Use this guide for the legacy company-membership model and its People page. Its company roles and Owner controls are separate from agency-configured Member access with additional grants for a client relationship. Check which controls the client uses before applying these instructions.
In the legacy model, company membership provides access to company-shared work. Each item’s sharing and private-conversation audience still limit what a person can see. Roles determine who can respond and govern the company.
Configured relationship permissions
Your agency owns and controls the entire Portal. A relationship Owner or Admin has delegated access, not Portal ownership.
In Studio, Settings → People → Edit permissions shows Member or Owner for eligible relationship access. Member can receive independent Admin, Approver, and Finance grants. Member participation is separate from work approval. Admin includes Approver and Finance, while Finance alone does not grant approval or Admin. Finance controls are hidden by default; saved permissions remain intact.
On the relationship People page, an existing Owner can select an admitted Member and confirm Assign Owner. Your agency can undo the assignment in Studio. Neither action changes client Workspace ownership, Project sharing, or private-conversation audiences.
An admitted Admin or Owner can invite a new Member to the selected relationship. The new Member receives no direct Admin, Approver, or Finance grants and inherits that inviter’s Project selection. Invitation created confirms creation, not email delivery.
Under Member permissions, an admitted Admin or Owner can select Edit permissions for an eligible active Member. The editor changes direct grants, not the Member base role or Project access. A relationship Owner can grant Admin. An Admin can preserve or remove an existing Admin grant but cannot appoint a new Admin. Hidden Finance values stay unchanged when another grant changes.
Under Pending invitation permissions, the same authorized people can edit eligible, unexpired Member invitations within their Project limits. The recipient still needs to verify their account and accept the invitation. Editing permissions does not resend the email, change its link or expiry, or admit the recipient. Your agency can undo these permission edits in Studio. Expired, revoked, or unavailable invitations are not editable here.
The agency can undo a client’s permission edit in Studio. That agency edit does not lock out later authorized client edits. People outside the administrator’s full Project scope, revoked access, and relationship Owners do not appear in either permission editor. Active Members and pending invitations have separate lists.
Select Edit Project access to change an eligible active Member’s or pending invitation’s Project selection separately. An admitted Admin or Owner can choose all current and future agency-shared Projects, specific Projects, or none, within their current relationship access. This does not publish Projects, change permissions or Primary Contacts, or add anyone to private conversations.
Saved selections missing from the available list stay selected until you remove them. Clear Project selections deliberately selects none. A specific-Project editor cannot choose All or edit someone whose current access includes All. Your agency can undo these selections in Studio, without preventing later authorized edits. Editing a pending invitation does not accept it, resend it, or change its link or expiry.
Unconverted Read-Only restrictions remain in force. Conversion to normal Member or an authorized canonical permission save clears that restriction without widening Project or private-conversation access. See Edit Member permissions.
An admitted Admin or Owner can select Remove access for an eligible Member in this relationship. Review the confirmation before removing access. Keep access changes nothing. Removal keeps the person’s Profile, permissions, Project selections, and work stored. If the person removes their own access, they lose management in this Portal.
Your agency can restore accepted Member access in Studio. An admitted Admin or Owner can also use Removed Member access → Restore access on Portal People for an eligible accepted Member whose full saved Project scope fits their current access. Restoration keeps the saved permissions and Project selection. Previously accessible conversation history returns within current access and existing audiences. It does not add participants or restore a never-accepted cancelled invitation.
For an eligible pending Member invitation, select Cancel invitation and confirm, or select Keep invitation to leave it unchanged. Cancellation stops the invitation link from working. It does not recall an invitation email or send a replacement. Cancelled, expired, or unavailable invitations cannot be renewed through these controls. Contact your agency for recovery.
Legacy company roles and access
- Owner governs company membership, the Approver role, ownership, billing, settings, and company-wide switches. In the legacy invitation flow, the first person to accept an invitation to a newly created company becomes its Owner.
- Approver is a Member the Owner also trusts to sign off milestones. See Milestone sign-off.
- Member is the default company role. A Member sees shared work, approves or requests changes on file reviews, sends requests and messages, and can invite colleagues, subject to the company settings below.
- Read-Only permits viewing shared work but prevents responses. Read-Only is a legacy Portal access level your agency sets in Studio, not a role the client’s Owner assigns. Its restrictions remain in force. See Set a person’s Portal access level.
The People page
In Portal, People shows a read-only list of the client company’s joined people, with each person’s name, email, role, and join date. The heading reads People at the company’s name.
The list shows only people who have joined. It never shows pending invitations, and it never shows any other agency’s people. Each agency’s Portal is separate.
What the Owner controls here
The Owner sees extra controls on the same page:
- Invite and remove people, and make someone an Approver.
- Only Owners approve reviews and Join by company email switches. Both are company-wide and apply in every agency’s Portal.
- End agency stewardship to end your agency’s temporary grant.
Inviting a colleague is not limited to the Owner. Any Member who is not Read-Only can invite colleagues. See Sign in to the Portal for how colleague invitations join.
