Clients & portal

Share work with clients

Choose which projects and files clients can see in Portal.

A client needs access to Portal before they can see work you share. Manage portal access explains how to check that first.

Show a project in Portal

  1. Open the project’s Settings.
  2. Turn on Client Portal Visibility so it reads Allow. If the project has no client, attach one in Settings first.

The toggle has these settings:

Setting What it controls
Allow Makes the project available in Portal to people whose access includes it.
Deny Keeps the project within your team.

Turn the toggle on for Allow or off for Deny. It controls the project’s visibility, not a person’s role or approval permissions. Check each person’s permissions separately in Manage portal access. Changing project visibility does not invite anyone or change their project selection.

During project setup, the Share step also has Add project to client portal. Expand Granular permissions there to change Share schedule & milestones with the client. Milestones marked internal stay with your team.

Check the person’s project scope

Choose All Projects or Specific Projects when you invite a client user.

For explicitly configured relationship access, an all-project scope includes current and future projects only when they are shared. A specific-project scope includes only the selected projects. An empty specific selection grants no project access.

Additional Admin, Approver, or Finance grants do not widen that selection. Edit permissions changes grants within the existing scope; it does not select projects. Shared work still needs the relevant area permissions, and private conversations keep their own audiences.

Share a file or page

  1. Open the project and select Resources.
  2. Find the item and change its visibility to Shared. Internal and Team keep it from client users.
  3. To stop sharing it, change its visibility back to Internal or Team.

A Share menu for a file manages who has direct access. To make the file available to client participants, change its visibility to Shared. Check both the project and the file if a client cannot find it.
