Invite someone who works for a client here. This does not add them to your agency’s Studio workspace. Sending client invitations requires a Studio plan.
Steps
- Open Clients, select the client, then go to Settings → People.
- Select Invite Client User and enter their email address. You can add a first name or a personal message.
- Keep the default Member role with no direct grants, or select Admin or Approver if needed. Finance controls are hidden by default. Check the effective access summary.
- Keep the default All Projects, or choose Specific Projects to limit access.
- For Specific Projects, wait for the list to load and select the projects. Use Load more Projects if needed. You can select up to 100 projects. An empty selection grants no Project access.
- Select Send Invite.
- Check the invitation in People. Email queued means delivery is pending. If email fails or is blocked, select Copy link and send the existing invitation another way. If the clipboard is unavailable, select and copy the Invitation link in the dialog.
All Projects includes current and future projects in this client relationship, but each project still needs to be shared. Specific access includes only the projects you select. The invitation saves the Member policy, direct grants, and project scope together.
Admin includes Approver and Finance without selecting their direct checkboxes. Finance alone does not grant approval or Admin. A new invitation cannot appoint an Owner. After the person accepts and has active admitted access, your agency can edit their relationship role. See Edit Member permissions for grant implications and Owner recovery.
If a selected project is no longer available, choose the projects again before sending. If sending fails, the dialog keeps your selections so you can review the error and retry.
Copying does not resend the email or create a new invitation. Provider accepted confirms an email-provider receipt; Email delivered confirms a delivery report. Neither means the person has accepted the invitation. See Invitation email statuses.
For a pending, unexpired invitation, Resend invite tries email again using the same link and expiry. Invitation queued means that attempt is pending, not delivered. Resending does not change the recipient or their access. An expired or cancelled configured invitation cannot be renewed here. Contact Watson support for recovery. If the person previously accepted and their Member access was removed, use Restore access in Studio.
What acceptance grants
Ask the person to open the invitation in your agency’s Portal and sign in with the invited email address. They must verify that mailbox. If they opened it under another account, ask them to sign out and reopen the same invitation with the intended account.
Acceptance grants only the permissions and project scope for this agency’s client relationship. It does not create client Workspace Membership, assign an Owner, or add them to your Studio workspace. An existing Watson Profile can accept separate invitations to other relationships or agency Portals. Each relationship keeps its own access.
Legacy company invitations
The following joining rules apply to older company-membership invitations. They do not apply to invitations with the Member grants and explicit project scope described above.
Accepting the invitation proves the person owns that email address. They join the client’s organization right away when:
- Your agency created the client’s company and still holds its stewardship grant. Its first accepted invite makes that person Owner, whatever their domain.
- A non-public company email matches the company’s principal domain, they confirm I’m part of Acme, and the Owner-controlled Join by company email switch is on (the default). Existing Members are recognised without joining twice.
Anyone else, including a public-domain invitee or someone whose company has switched off company-email admission, waits for an active non-Read-Only Member to approve the email request. With no company-domain match, a new client company is created. See A client user is waiting for approval.
If the client is itself an agency or freelancer workspace, invite people who already belong to it. Your invitation cannot add new people to their workspace.
You can revoke an invitation before the person accepts it. If someone has already joined and should no longer see your agency’s work, remove their Portal access.
